Vantaca Integration
SmartProperty connects to Vantaca and pulls your association's financial data on a scheduled sync. Vantaca remains your system of record for accounting. SmartProperty uses the synced data to power reserve reporting, project cost tracking, and portfolio analytics.
What Syncs¶

| Association profile | Name, address, unit count, fiscal year start month, and assessment frequency. Updated in place when it changes. |
| Bank accounts and balances | Account name and current balance. At initial setup we also pull the last 12 months of ending monthly balances so your trend reporting starts with history. |
| Chart of accounts | GL codes with descriptions. |
| Invoices | Invoice number, vendor, invoice date, GL allocation, and amounts. Voided invoices are excluded. |
| GL transaction detail | Individual transactions per GL code: date, description, debit and credit amounts. |
How to Connect¶
Vantaca issues API credentials directly to their customers. Email Vantaca support (support@vantaca.com) and request API credentials for the SmartProperty integration. Once you have credentials, share them with SmartProperty and we complete the setup, including mapping your Vantaca associations to SmartProperty properties.
Things to Know¶
- Reserve classification happens at the fund level in SmartProperty. Vantaca does not distinguish reserve GL codes from operating GL codes directly, so you mark reserve funds on the Connected Apps GL Funds tab and choose whether expenses and income are filtered by them. See "Classifying reserve accounts and funds."
- Balance dates. Vantaca provides current balances without an as-of date, so SmartProperty records the sync date as the balance date.
- Balances from integrated accounts are managed by the sync and are not manually editable in SmartProperty.
- Transactions changed in Vantaca during month-end reconciliation are updated in SmartProperty on the next sync, not duplicated.
- The Transactions view includes Vantaca's GL Type and Fund Type as columns and filters.
- Linking transactions to components is not currently available on Vantaca integrations.
Sync Schedule¶
The automatic refresh schedule is configurable per property (Daily, Weekly, or Monthly) on the Connected Apps Schedule tab, and a manual Update Now is available once per 24 hours.
