Classifying Reserve Accounts and Funds
SmartProperty needs to know which synced accounts and GL activity belong to your reserves, as opposed to operating funds. This classification drives your reserve balance reporting and which expenses count against reserve projects. Where you set it depends on your platform.
Bank Accounts (All Platforms)¶
Open your property, select Connected Apps, then the Bank Accounts tab, and choose view bank accounts. Each synced account shows its ledger code, description, and account type, with a Reserve? setting (Yes or No). Your change saves as soon as you select it.
Accounts marked Reserve feed your Total Reserve Balance; the rest feed Total Operating Balance.
GL Funds (Vantaca)¶
Vantaca organizes GL activity by fund, so reserve classification happens at the fund level. On the GL Funds tab:
- Choose whether to filter expenses by reserve funds (Yes or No).
- Choose whether to filter income by reserve funds (Yes or No).
- Mark each fund as Reserve? Yes or No in the fund list.
When filtering is on, only transactions in reserve funds count toward reserve reporting.
GL Codes (CINC)¶
CINC provides a reserve designation per GL code, which you can review on the GL Reporting tab. See "Configuring GL codes for reporting."
A Note on Synced Balances¶
Balances on integrated accounts are locked to the sync: you can't add or edit balances manually, because the integration is the source of truth. If a balance looks wrong, correct it in your accounting platform and it will update on the next refresh.
