Organize project files in folders
Overview¶
Organize a project's files into folders from the project itself. Open "Photos & Files" on a project, then "Files", to create folders, upload files into them, and rename, move, download or delete files and folders.
The project's files are the same files you see in Library > Files, under the "Projects" folder and then the folder with the project's name. A folder you create on the project also appears in the Library, and a folder you create in the project's Library folder also appears on the project.
Setup¶
You need access to Files & Photos to see a project's files. With View only access, you can open folders and download files.
To create, upload, rename, move or delete, you need edit access to Projects and Edit access to Files & Photos. If your role has view access to Projects, those controls are not shown. See the role reference for what each role can do.
A project starts with no folders. Create the folders you need.
How-to¶
Open a project's files¶
Open the project, then select the "Photos & Files" tab.
Select "Files". This shows the project's folders and files.
The folder tree on the left starts at "Files", which is the project's own folder. The path above the file list shows where you are. Select any folder in the path to go back to it.
Double-click a folder to open it.
Create a folder¶
Open the folder where you want the new folder. To create a folder at the top level, stay at "Files".
Select "Create folder" in the toolbar. This opens the "CREATE FOLDER" window.
You can also right-click an empty part of the file list and select "New folder".
Replace "Untitled directory" with the folder name, then select "Create". The new folder appears in the file list and in the folder tree.
To nest folders, open a folder first, then create the new folder inside it.
Upload files into a folder¶
Open the folder where the files belong.
Select "Upload files" in the toolbar. This opens your computer's file picker.
Choose one or more files. The files upload into the open folder and are added to the project.
Each file can be up to about 100 MB. A larger file shows the message "File size exceeds the maximum allowed size." and is not uploaded.
Rename a folder or file¶
Select the folder or file in the file list.
Select "Rename" in the toolbar, or right-click the item and select "Rename". This opens the "RENAME" window.
Type the new name, then select "Save".
Move files or folders¶
Select one or more files or folders in the file list.
Select "Move to" in the toolbar, or right-click and select "Move to". This opens the "MOVE" window with the project's folder tree.
Select the destination folder, then select "Move". The items move into that folder.
You can move items only between folders in this project's file area.
Download files¶
Select one or more files in the file list.
Select "Download" in the toolbar, or right-click and select "Download". Each selected file downloads to your computer.
Download works on files. To download the files in a folder, open the folder and select the files.
Delete a folder or file¶
Select the folder or file in the file list.
Select "Delete" in the toolbar, or right-click the item and select "Delete". This opens the "DELETE" window. The window asks "Are you sure you want to delete" followed by the item name.
Select "Delete". The item is deleted.
Deleting a file here deletes it from your property, the same as deleting it in Library > Files. The file is also removed from any other project it was on.
Deleting a folder also deletes every file and folder inside it. Open the folder and check its contents before you delete it.
Change the view or refresh the list¶
Use the view switch in the toolbar to choose "Thumbnails View" or "Details View".
Select "Refresh" in the toolbar to reload the list. Use "Refresh" after someone adds files in Library > Files.

Troubleshooting¶
If the "Files" sub tab shows "Unable to load project files.", your role may not include access to Files & Photos. Check the role reference, or ask your Account Admin.
If "Create folder", "Upload files", "Rename", "Move to" or "Delete" is not shown, your role has view access to Projects. Ask your Account Admin about edit access to Projects and Files & Photos.
If a file you added in Library > Files does not appear, select "Refresh". Files appear on the project only when they are inside the project's Library folder.
If an action shows a message such as "Item was not moved" or "Directory was not created", check the role reference to confirm your role has Edit access to Files & Photos. If it does, select "Refresh" and try again. If the message keeps appearing, contact SmartProperty.
