Add photos
Overview¶
Add a photo in "Library" > "Photos" to store it at your property. Add a photo on a component, a project or a maintenance task to link it to that record. A photo added on a record is also kept in the "Library".
| Where you add it | How |
|---|---|
| Library > Photos | Upload one or more photos. |
| A component's "Photos" section, or a project's "Photos" tab | Upload a new photo, or pick one that is already in the "Library". |
| A maintenance task or a task occurrence | Upload a new photo. Picking from the "Library" is not offered here. |
Every location accepts jpg and png photos less than 12 MB. You can add several photos at once.
In "Library" > "Photos", each photo shows "No assigned component" until you assign it to a component. A photo linked only to a project or a maintenance task also shows "No assigned component".
Setup¶
You need Edit access to "Files & Photos" to add a photo. Account Admin, Property Manager, CFO, Finance Manager, Reserve Analyst, Project Manager and Maintenance Coordinator have Edit access.
HOA Board Member has View only access. A board member can open and download photos, but the controls for adding them are not shown.
Homeowner and Vendor have no access to "Files & Photos". "Library" does not appear in the left navigation for these roles.
On a component, the controls for adding photos are not shown when a previous fiscal year is selected at the top of the page. Select the current year to add photos.
How-to¶
Add photos in Library > Photos¶
Select "Library" in the left navigation, then select "Photos". This opens the "PHOTOS" page.
Select "ADD PHOTOS". This opens the "ADD PHOTOS" window.
Drag your photos onto the window, or select "browse" and choose them on your computer.
Select "DONE". The photos appear on the "PHOTOS" page.
Add a photo to a component¶
Select "Components" in the left navigation. Select the arrow icon on the right of the component's row. This opens the component's detail page, with the "Photos" section in the right column.
To upload a new photo, drag it onto the "Photos" section, or select "browse" and choose it on your computer. The photo appears in the section and in the "Library".
To use a photo that is already in the "Library", select "photo library". This opens the "ADD PHOTOS FROM PHOTO LIBRARY" window.
The window shows only photos that are not assigned to a component. Clear "Show unassigned photos only" to see every photo.
Select the photos you want. The window shows how many photos are selected.
Select "Add". The photos appear in the component's "Photos" section.
Add a photo to a project¶
Select "Projects" in the left navigation, then select the project. This opens the project.
Select the "Photos & Files" tab. This opens the "Photos" tab, with the "Files" tab beside it.
To upload a new photo, drag it onto the tab, or select "browse" and choose it on your computer. The photo appears on the "Photos" tab and in the "Library".
To use a photo that is already in the "Library", select "photo library". This opens the "ADD PHOTOS FROM PHOTO LIBRARY" window. Clear "Show unassigned photos only" to see every photo.
Select the photos you want, then select "Add". The photos appear on the "Photos" tab.
Add a photo to a maintenance task¶
Select "Maintenance" in the left navigation. Set "Group by" to "Name", then select the task name in the list. This opens the task, with the "Photos" section in the right column.
Drag a photo onto the "Photos" section, or select "browse" and choose it on your computer. The photo appears in the section and in the "Library".
On a new task, select "Save" to keep the photo with the task.
Each occurrence of a task has its own "Photos" section. Open the occurrence to add a photo to that occurrence only.
Reference¶
If the add controls are not shown¶
"ADD PHOTOS", "browse" and "photo library" appear only for roles with Edit access to "Files & Photos".
With View only access, you can open and download photos, but you cannot add them. HOA Board Member has View only access.
With no access, "Library" does not appear in the left navigation. Homeowner and Vendor have no access.
On a component, check the year at the top of the page. A previous fiscal year shows the component without the add controls.
To change what a person can do, an Account Admin changes their role. See What Can Each User Role Do? for each role's access.
If your role should have Edit access to "Files & Photos" and the controls are still not shown, refresh the page. If they are still missing, contact SmartProperty.
If a photo is not added¶
A photo that is not jpg or png shows "Invalid file type. Allowed types: .jpg, .jpeg, .png." A photo larger than 12 MB shows "File is too large." Save the photo as a smaller jpg or png and add it again.
