Edit a component

Overview

Update a component's details at any time from its detail page. Property managers, reserve analysts, and account admins use the detail page to correct a name, update a cost, change a category, or keep replacement details current as a component ages.

Each component belongs to a single fiscal year. You edit the current year's component, or a planning year's copy, from the same detail page.

Each field saves on its own. You do not need to save the whole page at once.

What this affects

  • Reserve funding calculations. Changing "Component Type" to a type that does not count toward reserves excludes the component from reserve funding calculations. Changing the type back includes the component again.

  • Your planning year. In a planning year, your changes apply to the planning copy only. Your current components do not change until planning is complete and a funding model is adopted.

Setup

  • Write access. You need write access to the Components module. Without write access, values on the component detail page are shown but cannot be selected for editing.

  • Reserve figures. Account Admins, Property Managers and Reserve Analysts can change "Useful Life", "Remaining Useful Life" and "Unit Price". Other roles see these fields as read only.

  • Fiscal year. "Components" appears in the left navigation when the current fiscal year or a planning (future) fiscal year is selected. With a past fiscal year selected, "Components" is not in the navigation, and its components cannot be edited.

  • Planning year banner. In a planning year, the banner "These components are a copy for planning purposes." appears above the component list.

How-to

Step 1: Open the component

  1. Check the fiscal year selector at the top of the screen. The component you edit belongs to the year shown there.

  2. Open the property, then select "Components" in the left navigation. This opens the Components page.

  3. Find the row for the component you want to change, then select the arrow icon on the right of the row. This opens the component's detail page.

The component's name appears at the top of the page, along with the "Duplicate Component" and "Remove Component" links.

Step 2: Change a text or number field

  1. Select the value you want to change. This opens the field for editing.

  2. Enter the new value.

  3. Select the checkmark. This saves the value. To cancel and keep the original value, select the X instead.

If a value you enter does not meet the field's requirements, an error appears under the field. Correct the value and select the checkmark again.

Step 3: Change a dropdown field or a location

  1. Select the value of a dropdown field, such as "Category", "Component Type", "Source", or "Owner". This opens a list of options.

  2. Select an option. This saves the option immediately.

  3. To change the location, select the value under "Location". This opens the location list.

  4. Select a location. This saves the location immediately.

You can also change a location from the Components page without opening the component.

When the property has locations, add the "Location" column from the "Column Chooser" window, then select the component's "Location" cell. This opens the location list.

Select a location to save it immediately, or select "Remove Location" to clear it. Without write access, the "Location" cells do not open.

Step 4 (optional): Add a new category

  1. Select the "Category" value. This opens the list of categories.

  2. Select "-- Add New Category --". This opens the "Create New Category" window.

  3. Enter a "Category Name".

  4. Select "ADD CATEGORY". This saves the new category and applies it to the component.

Step 5 (optional): Change tags

  1. Under "Tags" in the right column, select the tag box. This opens the list of tags.

  2. Select a tag. This adds the tag to the component.

  3. To take a tag off the component, select the remove icon on the tag.

Step 6: Choose a value if SmartProperty finds a conflict

  1. If you change a field that has also been changed in your planning year's copy of the same component, the "Update Conflict" window opens. The window shows both values.

  2. Select "Select" under the value you want to keep.

  3. Select "Update". This saves the value you chose.

To leave both values unchanged, select "Cancel".

Component Type and reserve calculations

Changing "Component Type" to a type that does not count toward reserves shows the warning "Component is excluded from reserve funding calculations." Changing the type back to a type that counts toward reserves includes the component in those calculations again.

Current replacement cost

The current replacement cost shown in the Cost section is calculated from the component's other values. You cannot edit the current replacement cost directly.

Troubleshooting

  • A field will not open for editing. Check that you have write access to Components and that you are viewing the current fiscal year or a planning year. Contact SmartProperty if you believe you should have access.

  • The component you need is not on the list. Check the fiscal year selector at the top of the screen. You are viewing one fiscal year's components at a time.
