What changed on October 29, 2026
The Reserve Analysis Report no longer auto downloads to your computer, so look for it in the bell notification menu instead. It is also saved to the property's Library > Files under "Reports". Project notes are now a conversation, with replies and @mentions, and project files can be organized in folders. The Project Status Report also covers the reporting period you choose, down to the tasks behind each milestone.
Reserve Analysis Report: Now Delivered to Your Notifications¶
This changes how the Reserve Analysis Report has always worked. The Reserve Analysis Report no longer auto downloads to your computer when you select "View As PDF". The report now generates in the background, so large reports no longer freeze the screen for minutes at a time.
Watch the one minute walkthrough:
Where to find the finished report: * The bell notification menu (next to your name, top right). The finished report appears with a "Download PDF" action. It stays there, so you can download the same report again later without generating it again * Library > Files, in the "Reports" folder. A copy is saved to the property automatically, so there is no need to upload it yourself
How it works: * Select "View As PDF" and keep working. The button shows "Generating PDF…" and a message confirms you will be notified when the report is ready * Most reports are ready in seconds. Selecting "View As PDF" again starts another copy rather than speeding up the first one * If a report fails, the notification offers "Retry"
What you need to do: Look for the finished Reserve Analysis Report in the bell menu or the property's "Reports" folder, not your computer's downloads. Let anyone on your team who generates this report know. All other reports still download right away.
Request a Reserve Study Proposal from the Dashboard¶
Users can now request a reserve study proposal straight from a property's Dashboard, without leaving the app to find the request page on the website. * A "Request a Reserve Study Proposal" button sits in the Dashboard header of every property * The proposal request page opens in a new tab, so the user's place in the app is kept
What you need to do: No configuration required. Homeowner and Vendor roles do not see the button.
Threaded Notes and @Mentions on Projects and Tasks¶
Project and task notes are now a conversation. Users can reply to a note and pull a specific person in with an @mention, right where the work lives. * Reply to any note. Replies are grouped under the note they answer * Type "@" to tag anyone with access to the project. Tagged people get a notification that links back to the note * Mark a note "Tagged only" so only the author and the people tagged can see it * Edit or delete your own notes. Deleting a note also removes its replies * Notes stay separate from the read-only activity history * Users can turn off these emails under Settings > Notifications > Projects ("Project Updates")
What you need to do: No configuration required.
Folders in Project Files¶
Project files can now be organized in folders without leaving the project. Each project's Files tab is its folder in the Library. * Create, rename and delete folders inside a project's Files tab, including nested folders * Move files between folders with "Move to" * Navigate the folder tree with breadcrumbs * New projects start with no folders, so each team organizes them its own way
What you need to do: No configuration required. Deleting a file from a project's Files tab removes it from the property's Library.
Project Status Report: Reporting Period and Task Detail¶
The Project Status Report now covers the date range you pick across the report, and shows the tasks behind each milestone. * Milestones expand to list each task with its status and dates when work happened in the period. Stages with no activity stay as a single summary row * Open tasks past their end date show as "Overdue", so late work isn't hidden by the date filter * Stage progress counts always describe the whole stage, so expanded and collapsed stages read the same way * Financials shows change orders and payments for the period next to project-to-date figures, and Budget adds "Paid This Period" * The period and a one-month look-ahead appear on one schedule, with a divider at today's date * With no date range selected, the report covers the project from its start date through today
What you need to do: No configuration required.
Group Components by Location¶
Users can now group and filter the Components grid by location, for teams that think "clubhouse pool pump" before "mechanical". * Location is a new Group by option when the property has locations. Components group under their top-level location, and components without one group under "No Location" * A new Location column (hidden by default, added from the column chooser) shows each component's full location path * Filter the Location column with the property's location tree, with search. A parent location includes everything beneath it * Users who can edit components can change a component's location by clicking its Location cell, or clear it with "Remove Location" * Location edits made in the grid are recorded in the component's activity
What you need to do: No configuration required.
Files & Photos Permission¶
Files and photos now have their own permission, separate from Reserve Studies. Roles that manage documents but don't edit the reserve study can now do that job. * Files & Photos is a new row in the role permissions grid * Project Managers can now create folders and upload, rename, move and delete files and photos in the Library and on their projects, and they see every Library file at their properties * View only roles can see and download files and photos but can't change them * Project Managers can now view and export funding plans and financial assumptions
Updated Files & Photos grants:
| Role | Files & Photos |
|---|---|
| System Admin, Account Admin, Property Manager, Project Manager, CFO, Finance Manager, Maintenance Coordinator, Reserve Analyst | Edit |
| HOA Board Member | View only |
| Vendor, Homeowner | None |
What you need to do: No configuration required. Existing users keep their current role.
Updated Default Role Permissions¶
Three preconfigured roles now have grants that better match how they are used.
| Role | Area | Before | Now |
|---|---|---|---|
| Project Manager | Financial Management | No access | View only |
| HOA Board Member | Components | No access | View only |
| HOA Board Member | Projects | No access | View only |
| HOA Board Member | Maintenance | No access | View only |
| Property Manager | Portfolio Analytics | View only | No access |
What you need to do: No configuration required. Users migrated from the old Manager role no longer see Portfolio Analytics, which matches the access they had before the new roles were introduced.
Bug Fixes (Account Access & Roles)¶
- Reserve figures: Account Admins and Property Managers can edit reserve figures on components again, and can still generate the Reserve Analysis Report.
- Reserve Analyst funding plans: Reserve Analysts can view and edit funding plans and financial assumptions again.
- Financial Health Report export: View only roles can export the Financial Health Report as a PDF again.
Security and Reliability¶
We continued work to strengthen the security and reliability of SmartProperty.
What you need to do: No configuration required.
