Where to find settings for your property, your Portfolio, and your own account

Overview

SmartProperty keeps settings on separate screens. Which screen you need depends on how far the change reaches: one property, the whole Portfolio, or only you.

Setup

The gear follows your role's access. Not everyone sees the gear.

Not everyone sees the same tabs. What appears depends on your role's access, on the property itself, and on the fiscal year selected in the top bar. Two people can open the same property and see a different tab row.

With view access, the Save Changes button is not shown.

What SmartProperty sets up for you

SmartProperty sets up the following for you. Contact SmartProperty to request any of them.

A new property, including a blank property you plan to load data into later.

Portfolio Analytics turned on for your Portfolio.

The Maintenance capability turned on.

Loan Analysis turned on for your Portfolio.

Projects and planning turned on for an individual property.

Intelligence access. Intelligence access follows a per user subscription, not your role.

A bulk import of photos for your components.

Have these details ready when you request a new property: the property name, the full address, the number of units, the year built, the property type, and the Portfolio the property belongs under.

Once the property is created, open Property Settings to fill in the rest.

How-to

Open Property Settings for one property

Select the property in the top bar.

Select Settings (the gear) at the bottom of the left navigation. This opens the page headed PROPERTY SETTINGS.

Everything on that page applies to the property currently selected.

Open Portfolio Settings

Select PORTFOLIO in the top bar.

Select Settings (the gear) in the left navigation. This opens the page headed Portfolio Settings.

Portfolio Settings applies to the Portfolio named at the top right, next to the swap arrows.

If you work across more than one Portfolio, switch there first, then open Settings.

Open your own profile and settings

Select your name at the top right. This opens a short menu: Profile, Settings, Sign Out.

Property Settings tabs

Tabs you may see on Property Settings:

General. Property name and address, plus details including year built, property type, number of units, number of floors, condo conversion, and description. The profile image is set here too.

Financials. The fiscal year and the assessment collection frequency for the property, plus the financial assumptions used in planning: previous and current assessment fees, starting reserve balance, annual reserve contributions, inflation rate, interest rate, and the rate of annual reserve contribution increases. When you save, SmartProperty asks whether to apply the assumptions to your existing plans for that fiscal year.

Reserve Study History. The dated record for this property, with the type of study, the provider, the inspection date, and the cost. You can add an entry, update one, and remove one.

Connected Apps. Appears for a property connected to an accounting platform, and only when your own access to financial details is edit rather than view.

Activity. A record of changes made to the property, covering components, component files, notes, photos and descriptions, and projects. Filter the record by activity type, by the person who made the change, by category, and by date.

Portfolio Settings tabs

The General Settings tab includes your Portfolio name, company name, address, and contact details (contact name, email, phone, website).

The logo you upload here is the one that appears on your reports.

Lower on the same tab is a button that exports the components for every property in the Portfolio.

When Portfolio Analytics is turned on for your Portfolio, a second button appears. The second button refreshes Portfolio Analytics.

Portfolio Settings also includes a Property Groups tab and a Tagging tab. Property Groups appears when Portfolio Analytics is turned on for your Portfolio.

Advanced settings belong to SmartProperty

Both Property Settings and Portfolio Settings can show a section headed ADVANCED SETTINGS.

On Portfolio Settings that section includes your subscription, management type, who the Portfolio is sponsored by, white label, and Yes/No settings that turn capabilities on or off for the whole Portfolio (including Loan Analysis, Maintenance, and Account Management).

The settings in that section define what your Portfolio is entitled to. SmartProperty sets them up for you.

Leave that section alone.

To turn a capability on, or to correct something in that section that looks wrong, contact SmartProperty.

Your own account

Profile shows your name, phone, email, and the date you joined. There is a link to update your password, a button to update your photo, and an edit profile button at the top right of the page.

Settings shows Notifications. Inside Settings, sub tabs cover Channels (how you are reached, including email), Maintenance, Accounts, and Projects.

Profile and Settings are yours alone.

Your notification preferences apply to your own account. Changing your notification preferences does not change anything for other people in your Portfolio.

If a setting is not where you expect

Settings screens hide what you cannot use. A missing tab or field is not always the same thing as a missing feature.

Your role's access can be the reason. The capability may also not be turned on for that Portfolio or property.

Whoever manages users for your Portfolio can confirm which role you hold and what that role reaches.
