Why a component change shows in one year but not the other

Overview

While a planning year is open, your property has two sets of components: the current fiscal year's, and a copy for the planning year. Most changes made in the current year carry into the planning year. Changes made in the planning year stay in the planning year.

When a change lands in only one of them, the two years disagree. This article covers which changes carry over, what the Update Conflict window is asking, and how to bring the two years back in line.

Setup

A planning year exists once Planning has been set up for your next budget year. Until then there is only the current year, and nothing carries over.

Switch years with the year selector in the top bar. With the planning year selected, Components shows the notice "These components are a copy for planning purposes."

Changing components needs edit access to Components.

How-to

Know which way changes travel

| Change | Carries to the other year? |

| --- | --- |

| Edit a field in the current year | Yes. The planning year gets the new value, adjusted for one year of aging and inflation. |

| Create a component in the current year | Yes. A copy is added to the planning year. |

| Delete a component in the current year | Yes. It is removed from the planning year too. |

| Any add, edit, or delete in the planning year | No. The current year is unchanged. |

When the Update Conflict window appears

The window opens only when all four of these are true:

  • The current fiscal year is selected.
  • A planning year is open, and the component you are editing is in it.
  • The field you changed already held a different value in the planning year.
  • The value you entered does not match the planning year's value.

If any one of them is false, the change saves without the window: to both years when the component is in the planning year, or to the current year only when it is not.

The window names the field and shows two values side by side, each labeled with its year. The current year value is what you just entered. The planning year value is what the planning year holds now. Choose one, then select Update.

  • Choose the current year value: both years take your new value. The planning year receives it adjusted for one year of aging and inflation.
  • Choose the planning year value: the planning year's value is copied back into the current year, and the planning year is left as it is. Unit cost comes down by one year of inflation. Remaining useful life goes up by one year. If the planning year shows the component as just replaced (remaining useful life equal to its full useful life), the current year shows 0.
  • Cancel: nothing is saved in either year.

Bring planning-year changes back into the current year

If the planning year has started, run Advance to planning. The planning year becomes your current year, with its components. See [Advance to Planning: move your association into the next budget year](https://smartproperty-admin-guide.pages.dev/workflow-guides/advance-to-planning-move-your-association-into-the-next-budget-year/).

If it has not started, re-enter each change in the current year. When the Update Conflict window opens, choose the planning year's value.

A component added in the planning year exists only there. Create it in the current year, which also adds a copy to the planning year, then delete the original from the planning year so it is not listed twice.

A component deleted in the planning year is still in the current year. Delete it in the current year as well.

Before you select Recreate Component Copy

The refresh icon in the planning-year notice opens Recreate Component Copy. It replaces every planning-year component with your current year's data, so changes made only in the planning year are lost. Bring those changes into the current year first.
